Sri Lankan documents for life in Spain
Plan your civil certificates, education records, powers of attorney and police clearance around the procedure you actually need.
Editorial review: GuíaMigrante editorial team, 16 September 2026. Adapted with AI assistance and checked against the Spanish version and official sources. No independent legal or native-speaker review is claimed. Global navigation and legal pages remain in Spanish.
Start with the receiving authority’s requirements
A residence application, a marriage procedure and recognition of qualifications may require different documents. Keep the Spanish authority’s checklist and any written request. Record the issuer, language, issue date and any deadline for each document before ordering authentication, translation or delivery.
Choose your need
More than police clearance
Birth, marriage and death
The MFA distinguishes a certified copy from the register from the document issued when the event was first registered. Certificates issued before 2008 may need further certification by the District Registrar. Check the format before authentication or translation.
Unmarried status and marriage
An unmarried-status declaration has specific rules about the declarant, identification and certification of the signature. The MFA provides for declarations at Sri Lankan diplomatic missions for citizens abroad. Check whether its content meets the Spanish marriage procedure’s request.
Education and qualifications
For degrees awarded by Sri Lankan universities, the MFA specifies originals, the relevant copies certified by the university registrar and verification with the university. Authentication does not itself grant Spanish academic or professional recognition.
Police Clearance Certificate
The MFA requires the Police Headquarters format, rather than a generic police-station letter. Check your name, identification, issue date, address, period covered, authorised signature and seal.
Powers of attorney
Specify the act you are authorising. Certification may vary depending on how and before whom the document is signed. The MFA also addresses powers granted at a Sri Lankan mission by citizens living abroad. Confirm that the wording is suitable for the intended procedure.
Passports and other certificates
Authentication of a passport copy is not passport renewal and does not replace the original. The MFA specifies eligible pages and supporting documents. Court records, permits and professional certificates have separate instructions.
Authentication, apostille and Spanish acceptance are different
Sri Lanka was not listed as a party to the Apostille Convention in the HCCH status table checked on 16 September 2026. Do not describe Sri Lankan MFA attestation or e-DAS as an apostille.
Authentication of a signature does not correct inaccurate personal details or establish that a document meets every requirement of the receiving authority.
Legalisation and translation for Spain
For legalisation abroad, Spain’s Justice Ministry describes authentication by the issuing country’s foreign ministry followed by the competent Spanish consular office, unless an exemption applies. Official Justice Ministry instructions — Spanish PDF.
For immigration procedures, Spain’s Migration Ministry explains consular legalisation and accepted translations. A translator authorised as a sworn translator in Spain is one option; an ordinary local translation should not be treated as equivalent. Official immigration document guidance — Spanish.
Academic recognition is a separate procedure. The Universities Ministry distinguishes diplomatic legalisation from certifying a copy. Foreign qualification legalisation — Spanish.
For Sri Lanka, consult the Spanish consular jurisdiction directory for New Delhi. Before travelling or sending originals, confirm the receiving office, appointments, representation, e-DAS handling and translation order. Those operational arrangements have not been confirmed here.
Sri Lanka’s Embassy in Paris includes residents in Spain among those eligible for its consular attestations. That attestation does not automatically replace Spanish requirements. Sri Lankan consular attestation service in Paris — English.
Representation and preliminary checks
The MFA’s general instructions distinguish originals from certified copies and set document-specific requirements. Check the authority and identification needed if someone acts for you. Verification may involve the university, court or other issuer.
If you are already in Spain
Keep your decisions, application receipts and official requests. Document preparation is separate from deciding which residence, study or family route applies to you. Nationality alone does not determine eligibility.

Your document checklist
- Identify the procedure and receiving authority.
- Keep its checklist or written request.
- List only the documents required and their issuers.
- Check consistency of names, dates and other details.
- Identify missing copies, corrections, authentication, legalisation or translation.
- Confirm any actual deadline.
- Check official routes before purchasing assistance.
Do not attach passports, certificates or sensitive information to public forms. Describe the issue first; if documents are needed, the minimum information and an appropriate channel should be specified.
Frequently asked questions
Do I need every document listed here?
No. This guide organises possible needs, not a universal application checklist.
Does an authenticated qualification authorise professional practice?
Authentication and academic or professional recognition are separate procedures.
Can I use the official route myself?
Consult the linked public services. Additional assistance should have a defined scope and an agreed quotation.
Is there one completion time?
No fixed overall timeline is offered: issuance, verification, destination requirements and delivery differ.
Which step is causing difficulty?
Describe the document, destination procedure and problem without sensitive attachments. Website information, document assistance and a legal consultation are distinct services. Asking for guidance does not automatically create a contract.
